Project description

The entire ordering and approval process is now handled completely via pitFM - from the purchase requisition to the finished order. The completed orders are automatically transferred to SAP, creating a continuous and transparent process between the CAFM system and the ERP system. This avoids media disruptions, digitizes approvals and significantly speeds up purchasing processes.
With the integrated ticket process, requirements are entered directly via the web portal, from the requirement request as a ticket to the creation and management of internal and external orders through to the finished order, all steps are carried out centrally via pitFM.
The fault reporting process is also fully digitalized: faults can be reported online and are then rectified by internal employees or external service providers. This end-to-end workflow ensures a fast response time, seamless documentation and higher service quality.
The room and object management in pitFM maps all building structures of the University of Vienna, while the system management enables the administration of all technical systems - from maintenance planning to troubleshooting.
All relevant information is available centrally and forms the basis for efficient building management and preventive maintenance. pitFM provides a platform via which external management companies can also take over the management of entire buildings. This structure enables a uniform, secure and transparent working method for all partner companies involved.

SAP integration
Budgets, company data, accounts and other information are automatically synchronized via the interface to SAP. The integration ensures data consistency and enables end-to-end control of processes between pitFM and SAP - without manual rework.
With pitFM's mobile applications, employees in maintenance and room management can work directly on site. Extensions to the web solution also enable external service providers to record systems, document maintenance orders or report faults in real time.
In addition, solutions were implemented in the area of employee protection and the building and room management system was expanded to include additional functions to cover all operational requirements.
With pitFM, the University of Vienna has established a powerful, integrated CAFM system that digitally maps all processes in facility management, maintenance and purchasing.
The close SAP integration, mobile working and the mapping of external and internal processes make pitFM a central tool in the university's daily operations.
